For bakeries + custom-cake shops

AI Receptionist for Bakeries + Custom Cake Shops

Custom birthday cakes, wedding-cake tastings, allergen calls (gluten / nut / dairy), special-occasion pickups — every call captured with full intake so your decorator walks into the kitchen knowing exactly what's being made. Deaf-owned bakeries: SMS-only owner workflow supported (you never have to take a voice call).

What your callers hear

Thanks for calling Wildflour Bakery — what kind of cake are you looking for? Tell me the occasion, pickup date, and any allergens and I'll get you a starting quote.

Built for the calls bakeries + custom-cake shops actually get

Allergen calls are life-or-death — they have to land cleanly

A parent calling to confirm a birthday cake is nut-free for their anaphylactic kid CANNOT be lost in a voicemail. The AI captures the allergen list, repeats it back, books the order with the allergen as a structured field (not buried in freeform notes), and your decorator sees it boxed in red on the order ticket. Mistakes here put a child in the hospital — we treat this with the seriousness it deserves.

Custom-cake quoting drags on without structured intake

Caller wants a 3-tier wedding cake, buttercream not fondant, ivory with gold leaf, vanilla and raspberry tiers, 80 servings, picked up Saturday June 14 at 2pm. The AI captures all of that as structured fields (tiers, flavor per tier, filling, exterior finish, color palette, servings, pickup date+time, delivery vs pickup) and you quote off the structured row, not by re-listening to the call.

Wedding-cake tastings — booking + deposit

Wedding-cake tastings are paid consults ($45-$85 typical) that lock in serious couples. The AI books the tasting slot, sends a Stripe pre-payment link via SMS, and confirms the appointment with a calendar invite once paid. Tire-kickers self-select out before consuming your decorator's time.

Pickup-time confirmations the day before

Saturday pickup volume gets chaotic. The AI sends an automatic pickup-confirmation SMS 24 hours out: 'Hi! Your daughter's unicorn cake is confirmed for pickup Saturday 11am. Reply YES to confirm or call us if anything changed.' Cuts no-shows + last-minute changes.

Deaf-owned bakeries — SMS-only owner workflow

If you're a Deaf or hard-of-hearing owner, you may never take a voice call. RingDispatch's owner-side dashboard is fully SMS + visual: you get every order as a structured booking row, transcripts as text, and (optionally) auto-translated daily-summary SMS. Customers calling get the AI; you manage the bakery in text. This is core, not an accommodation.

How it works for bakeries + custom-cake shops

  • Allergen structured field (boxed in red on order tickets)

Gluten / dairy / nut / egg / soy / shellfish / sesame — captured as a structured allergen list, repeated back to the caller for confirmation, and rendered prominently on the order ticket. Mistakes here are the kind that close bakeries; the field is designed to prevent them.

  • Custom-cake order builder

Tiers, flavor per tier, filling, exterior (buttercream / fondant / naked / drip), color palette, theme (unicorn, dinosaur, monogram), servings, pickup date+time, delivery vs pickup, allergen list. Each field exports cleanly to your bakery POS or order spreadsheet.

  • Tasting + consult booking with Stripe pre-pay

Wedding-cake tasting consults are paid ($45-$85). The AI books the slot AND sends a Stripe pre-payment link via SMS. Couple pays before the calendar invite goes out, so the slot is held only for serious inquiries.

  • Pickup-confirmation SMS (T-24h)

24-hour automated pickup-confirmation SMS reduces no-shows and surfaces last-minute changes (color, time, message) before the cake is iced.

FAQ for bakeries + custom-cake shops

I'm a Deaf owner — can I run this without ever taking a voice call?

Yes. Every call your customer makes goes to the AI; every order, message, and alert reaches you as text or as a structured booking row in the dashboard. Daily summary SMS, transcript SMS, allergen-flag SMS — all visual. The dashboard is fully keyboard-navigable + screen-reader-friendly. Deaf-owner workflow is a first-class supported flow, not an accommodation bolt-on. See /accessibility for details.

Allergen handling — how does the AI not screw this up?

Three safeguards: (1) The AI repeats the allergen list back to the caller verbatim and asks for explicit confirmation. (2) Allergens are stored as a structured field, not buried in freeform notes. (3) The order ticket renders allergens in red at the top. We treat this as a child-safety issue because it is. If you ever spot a transcript where the AI missed or mishandled an allergen, email hello@ringdispatch.com — we treat those as P0 bugs.

Can it quote wedding-cake pricing?

Yes. List your $5.50/serving buttercream pricing, $7.50/serving fondant, $400 tasting deposit credit, etc. The AI quotes off the structured pricing for any caller who provides servings + style. Tier surcharges, delivery fees, and complexity surcharges are also quoteable if listed.

I bake from a cottage-food license — am I a fit?

Yes. The AI handles the same intake + booking flow whether you're a storefront bakery or a cottage-food home baker. You'll want to disclose your cottage-food license on your website + pickup terms (varies by state), but the AI doesn't care; it books orders and quotes pricing the same way.

Can it handle calls in Spanish + Vietnamese + Chinese? Lot of my custom orders come from these communities.

Yes — 32 languages. Set the per-language voice in Settings → Voice per language so Spanish-speaking quinceañera-cake callers hear native Mexican Spanish, Vietnamese tết callers hear native Vietnamese, etc. Pricing quotes work in any language.
