Terms of Service

These Terms of Service (“Terms”) govern your use of RingDispatch (“Service”), operated by RingDispatch LLC, a Virginia limited liability company. By signing up, you agree to these Terms.
1. The Service
RingDispatch is an AI receptionist that answers your business’s phone calls, books appointments, takes messages, and provides a dashboard to review what happened. We use third-party providers (Anthropic, ElevenLabs, Twilio, Stripe) and our availability is subject to theirs.
2. Eligibility — who can sign up
You must be at least 18 years old (or the age of majority where you live) to enter this agreement and to maintain a paid subscription. If you’re a minor running a business with a parent or guardian, the parent/guardian must create the account and is the contracting party for billing, data-processing consent, and (if applicable) voice-cloning biometric consent under BIPA / Texas CUBI / Washington biometric laws. We do not knowingly collect biometric data (voice clones) from minors. If you believe a minor signed up without parental involvement, email hello@ringdispatch.com and we’ll close the account and refund any charges.
3. Your account and your data
You’re responsible for the accuracy of the business information you provide (hours, services, pricing, team). You own your call transcripts and booking data; we process them on your behalf to operate the Service.
3. Acceptable use
You may not use the Service to: (a) process calls for businesses that violate applicable law; (b) circumvent rate limits or our security measures; (c) attempt to extract our system prompts or model weights; (d) place outbound calls or send unsolicited SMS (we’re an inbound service); (e) collect data from callers without disclosing recording / AI status (your AI does this automatically — don’t disable the safety prompt).
4. Subscriptions and billing
Subscriptions billed monthly or annually via Stripe. Card data is handled by Stripe under their terms; we never see your full card number. Your card is charged at checkout and service starts immediately. Subscriptions renew automatically until cancelled.
All sales final.Cancel anytime from the dashboard — your service continues through the end of the current billing period and you won’t be charged again. We don’t issue refunds for partial billing periods, mid-period cancellations, unused minutes, or one-time add-on charges (those unlock the feature immediately and are non-refundable once delivered).
Each plan includes a monthly minute allotment. Your dashboard shows a live minutes-used counter and flags you as you approach the cap. Once you reach your allotment, additional calls are paused until your billing cycle resets or you upgrade to a higher tier (one click in the dashboard); a call in progress when the cap is reached may be ended after the current exchange. We do notbill overage — you’ll never get a surprise charge above your plan.
Individual calls are limited to 8 minutes; the assistant wraps up politely and takes a message. To protect service quality for everyone, daily fair-use limits also apply — when reached, the assistant forwards new calls directly to your phone (or takes messages when no forwarding number is on file) until the limit resets at midnight UTC. We may also rate-limit traffic that degrades service for others.
4a. Recording disclosure and AI status
Your AI is required to disclose, at the start of every connected call, that it is an AI and that the call may be recorded. Its opening greeting identifies it as an AI assistant for your business and includes the recording notice — for example: “Hi, this is {your AI's name}, an AI assistant for {your business}. This call may be recorded for quality.” You agree not to disable, override, or attempt to suppress this disclosure. This satisfies California SB 1001, Colorado HB24-1139, Utah HB 140, and EU AI Act transparency rules.
Two-party-consent states.In CA, FL, IL, MD, MA, MT, NV, NH, PA, and WA, the spoken “may be recorded” disclosure is treated as implicit consent under standard telephone-recording doctrine when the caller continues the call after hearing it. If you operate a HIPAA-covered entity or otherwise need stricter consent capture, enable HIPAA mode in Settings: the AI then requires an explicit per-call consent before any transcript is stored, and optional audio call recording is disabled entirely in HIPAA mode (call audio is protected health information, so the consent-gated transcript is the record there). You are responsible for choosing the consent posture that fits your jurisdiction and your industry; we provide both modes but cannot make that legal call for you.
5. Disclaimers
The Service is provided “as is.” The AI is a best-effort assistant — it may misroute a call, mis-transcribe a number, or make a mistake your owner would need to correct. You remain responsible for verifying bookings, contacting customers, and honoring the appointments your AI makes. We don’t guarantee specific call outcomes or revenue.
We do not provide medical, legal, financial, or regulated-industry advice. The AI is instructed to refuse such advice and refer callers to a human professional.
6. Limitation of liability
To the maximum extent permitted by law, our liability is capped at the fees you’ve paid us in the 12 months preceding the claim. We’re not liable for indirect, incidental, or consequential damages.
7. Termination
You may terminate at any time. We may terminate or suspend an account for material breach of these Terms (e.g. abuse, fraudulent payment, or use that puts other customers at risk). On termination we’ll give you 30 days to export your data unless we’re legally required to delete sooner.
8. Changes
We may update these Terms; the date above will reflect the most recent change. Material changes will be emailed.
9. SMS messaging program
The RingDispatch SMS messaging program sends transactional messages only: booking confirmations, daily digests, payment-failure notices, and emergency-route alerts. We do not send marketing or promotional SMS through this program.
Message frequency varies based on your activity (typically 1-10 messages per week per active number). Message and data rates may apply from your wireless carrier. Reply STOP at any time to opt out of further messages from this program, or reply HELP for help. Carriers are not liable for delayed or undelivered messages — delivery is dependent on the recipient's wireless carrier and coverage. For support contact hello@ringdispatch.com.
10. Governing law
These Terms are governed by the laws of the Commonwealth of Virginia, USA, without regard to conflict of law rules. Disputes go to arbitration in Richmond, Virginia (you can opt out within 30 days of signing up by emailing legal@ringdispatch.com).
Tribal sovereignty: nothing in this section waives the sovereign immunity or jurisdiction of any federally-recognized Indian tribe whose lands are the situs of your business. If you operate on tribal trust land, disputes between you and us may additionally be heard in the tribal court with jurisdiction over your business, at your election. We will not assert that VA arbitration is exclusive against tribal-court jurisdiction.
