How it works

What RingDispatch does, who it's for, and what you actually get — in plain language, with zero engineering jargon.

Who this is for

Small business owners whose customers still call instead of booking online. If your phone rings, your work is in the field or in a chair, and you've ever missed a $400 job because you couldn't answer at 11:43am while elbow-deep in something else — this is for you.

The 20 lines of work we're tuned for at launch:

  • Plumbing
  • HVAC / heating / cooling
  • Electrical
  • General trades (handyman, carpenter, roofer, mason)
  • Home services (cleaning, lawn care, pest, junk removal)
  • Auto repair
  • Pet services (grooming, boarding, daycare)
  • Dental practices
  • Medical practices
  • Alternative health (chiropractic, acupuncture)
  • Wellness (massage, day spa, med spa)
  • Salon / barbershop / nail / lash / brow / med spa
  • Fitness studios + personal training
  • Restaurants + catering
  • Professional services (legal, accounting, consulting)
  • Photography + creative services
  • Event planning
  • Tutoring + music + test prep
  • Tech services + IT support
  • Retail with custom orders

Hotel / lodging, real estate agencies, and limo / livery are on the waitlist — the AI works for them but we're still building room-inventory, listing-pipeline, and fleet-config features. We'll email when those land.

What happens when a customer calls

  1. Your phone rings, AI answers in under half a second. In your voice (if you cloned it) or in a natural preset voice you picked. It says your business name, asks how it can help.
  2. It asks the right questions for your line of work. A plumber's AI asks for the address, whether water is actively running, equipment brand. A dentist's AI asks for date of birth + insurance carrier + reason for visit. A salon AI asks for the specific service + first-visit-or- returning. We pre-tuned all 20 industries so this just works.
  3. It books the appointment. Checks your schedule (the hours you set during signup), picks an open slot, confirms it with the caller, texts a confirmation before they hang up. The booking shows up on your dashboard in real time.
  4. If it can't book, it takes a message. Out of scope, complex insurance question, after-hours emergency — anything that needs you specifically. The message lands in your inbox with the caller's name, phone, and a one-sentence summary you can act on.
  5. If it's an emergency, you get a text right away. Burst pipe, no heat in winter, dental trauma, gas smell — the AI triages urgency and pages your phone immediately, even at 2am. You decide if you respond.

What you see in the dashboard

  • Today's bookings on a single screen. Caller name, phone, service, time, status. Tap to see the full conversation transcript. Mark complete or no-show with one click.
  • Live calls in progress. When the AI is on a call right now, the hero strip shows who's calling, what they asked, and lets you listen in if you want.
  • Inbox for messages.Every “the AI took a message” row, ranked by urgency. Reply by SMS or call back in one tap.
  • What you made today.Money on the books from this morning's calls. Conversion rate (calls answered → bookings). Returning vs. new callers.
  • “Your AI noticed…” suggestions. When the AI sees a pattern across calls — three callers asked for bilingual support, your after-hours messages are piling up — it surfaces a one-click fix.

Your morning email

At 7am in your time zone, every day, you get an email summarizing yesterday: how many calls came in, how many turned into bookings, how much was booked, what flagged calls need your attention, and a story-style lead like “Five customers tried to book after 6pm last night — three of them were repeat callers.” If anything needs your judgment, the email surfaces it with a one-click apply button.

Quiet days say so plainly. We don't pad the report. The goal is hands-off operations — you read this on your phone over coffee and know what your business did while you slept.

What it costs

Three monthly plans, no contract, cancel from your dashboard. Starter $129/mo, Professional $329/mo, Enterprise $699/mo. Annual billing saves about 17%. The HIPAA add-on for healthcare practices is a separate $149/mo when you need real 6-year retention + audit-trail consent capture.

Your phone number is yours. We don't hold it hostage — you bring a Twilio number under your own Twilio account, and if you cancel us tomorrow you keep the number forever. The per-call AI cost ceiling on every tier means a stuck loop or a bad actor can't surprise you with a $200 bill.

Honest list of what it doesn't do (yet)

  • Outbound cold-calling.The AI answers inbound calls only. It won't cold-call leads on your behalf.
  • Hotel room inventory, real-estate MLS, fleet dispatch. Those verticals are on the waitlist while we build the structured-data backends they need. The AI technically works for them but the first-call experience isn't tuned yet — we'd rather hold than under-deliver.
  • Live human take-over button. When you want to take a call, you call the customer back from the dashboard or your phone. Mid-call transfer-to-human is a feature we're building, not a feature we ship today.
  • Recurring-appointment templates.“Mike gets a monthly maintenance visit” isn't a button yet. The AI books one-offs; you can re-book by hand from the dashboard.
  • Spam-call blocking heuristics.Every call gets answered. We have a per-call cost ceiling so a telemarketer can't burn your budget, but no built-in spam-list filtering yet.

We list these explicitly so you don't hit them as surprises. Everything we don't do today is on a public roadmap we update as features ship.

Try it for free, no card required

Set up takes about 90 seconds. You'll hear your AI answer a test call in a natural voice (you can clone your own voice after you sign up) before you decide whether to plug it into your real business number.
